6 Steps to Choose a Solution
This framework works for evaluating any business solution—AI tools, software platforms, ERP systems, or operational tools.
Step 1: Identify the Problem
Don't start with "we need AI" or "we need new software." Start with the specific business problem you're trying to solve. What's broken? What's costing you time or money?
Step 2: Understand It in Detail Quantify the problem.
How many hours per week does it consume? How much revenue is at risk? Who's affected? Document the current state before looking at solutions.
Step 3: Identify Your Options
Research 3-5 potential solutions. Don't limit yourself to one category—sometimes the best solution comes from an unexpected direction.
Step 4: Pilot the Solutions
Test your top 2-3 options with a small pilot. Define clear success metrics. Involve the people who will actually use the tool daily.
Step 5: Review Your Pilot
This is where the template comes in. Grade each solution on features that matter to YOUR business. Some features are crucial (weight them more heavily), others are nice-to-have.
Step 6: Deploy
Once you've selected the winner based on objective scoring, deploy with confidence. You've done the work to ensure it's the right fit.

How to Use the Template
1. List Your Features
Identify 3-5 features that matter for your specific use case. For example: - Integration with existing systems - Ease of use - Customer support quality - Pricing structure - Implementation timeline
2. Identify Crucial Features
Mark 1-2 features that are absolutely critical. These get weighted more heavily in your final decision. In our example, "integration options" was crucial.
3. Test and Score
During your pilot (Step 4), test each solution and grade its performance from 1-10 for each feature. Base scores on actual experience, not vendor promises.
4. Add It Up
Sum the scores. The highest total is your winner—but also trust your gut. If something feels off despite a high score, dig deeper.
5. Document Your Decision
Keep the completed template. It helps you remember why you chose this vendor, and it's useful for future evaluations.
