# Your Pricing Structure Has a Story.Do You Know It?

P21 gives you near-total freedom to build pricing however you want. A few years in, that freedom usually turns into a structure only one person fully understands. This playbook is six checks to find out what's happening in yours, and what to do about it.

THE PROBLEM

## P21 shows you the price. Not why.

P21 records what you tell it. It doesn't tell you whether the structure behind it still makes sense.

An item pricing off a book you didn't know was still active. A customer sitting on a contract that should have expired. A margin question you can't answer quickly because the answer is buried three levels down in an override nobody remembers setting.

P21 shows you **A price, a book, a contract, a margin percentage.**

→

It doesn't show you **Whether that structure still makes sense, or who last touched it and why.**

!

None of that is a P21 problem. It's a structure problem, and structure is fixable, usually without new software.

This is not a pitch.
There's no product walkthrough.

- All six checks and what a warning sign looks like inside P21's own screens.
- Three tiers of fixes for each, from a same-day setting change to when it's worth bringing in help.

## Six Checks, Run Against Your Own Setup

Each check maps to a specific place P21 pricing structure tends to drift, with what to look for and how to fix it once you find it.

1

### Flat Pricing Bottlenecks

Where one-size pricing creates a chokepoint nobody planned for.

2

### Price Library Sprawl

Libraries and books that outlived the reason they were created.

3

### Override Drift

Manual overrides that quietly became the real pricing logic.

4

### Price Matching Conflicts

Rules that contradict each other depending on which one fires first.

5

### Contract Controls

Contracts marked active well past expiration, or scoped too broadly.

6

### Cost Isolation

Branch-level cost realities that corporate-basis pricing never sees.

**What this is, and isn't.** This is a self-guided checklist, not a pitch, built to be run against your own P21 setup whether or not you ever talk to Intuilize. None of the six checks require new software; the majority are same-day configuration changes once you know where to look.

Illustrative example

## What a finding looks like

A contract still read "Active" nine months past its expiration date, with item scope set to "ALL" instead of a specific class. Every SKU that customer bought was still pricing off a two-year-old agreement, not because anyone decided that, but because nothing in P21 flags a stale contract on its own.

That's the shape of every check in the playbook: not what the price is, but what's driving it.

Beyond P21

## Same Pattern, Different System

These six checks are built around P21 specifically: the screens, the terminology, the way P21 structures books, libraries, and contracts. But the underlying pattern isn't unique to P21. We see the same structural drift (pricing logic that made sense once and never gets revisited, cost sources that don't match how the business operates) across the ten distribution ERPs we work with.

The system changes. The habit of letting pricing structure go unreviewed doesn't.

## Fix the Structure Once, Not the Price Every Time

None of these six checks require new software. They require deciding, on purpose, how your pricing architecture should be structured, before the next vendor cost change or leadership request adds one more book to the pile.

FAQ

## P21 Pricing Architecture Playbook: FAQ

What is the P21 Pricing Architecture Playbook? +

A free, six-check guide built from the P21WWUG "Pricing Tips & Tricks" session led by Nelson Valderrama and Mahesh Iyer of Intuilize. It walks through the recurring ways P21 pricing structures get tangled over time: flat pricing bottlenecks, price library sprawl, override drift, price matching conflicts, contract controls, and cost isolation, with what a warning sign looks like in P21 and three tiers of fix for each.

Is this a sales pitch? +

No. The playbook is a self-guided checklist, not a promotional piece. It's built to be run against your own P21 setup, on your own time, regardless of whether you ever talk to Intuilize. If a check turns up something you want to discuss, contact information is included on the last page, and there's no commitment required.

Do I need to be a P21WWUG member to get this? +

No. The playbook was built from a P21WWUG member session, but it's available to any P21 user working through pricing structure questions.

What's the difference between the native-tool fixes and the "help" tier? +

Some of the six checks are same-day configuration changes inside P21's native screens. Others require a DynaChange script or direct SQL work, depending on your team's setup and comfort level. The playbook is explicit about which tier each fix falls into, so you can judge what your own team can handle versus what might need outside help.

Does this apply if I don't use P21? +

The six checks themselves are written for P21's specific screens and terminology. The underlying pattern, pricing structure that drifts once nobody's actively maintaining it, shows up across the other distribution ERPs we work with as well, though the playbook doesn't walk through those systems directly.
